Clamp vs QuickBooks Online: The books or the job
QuickBooks Online is accounting: bank feeds, payroll, taxes and your accountant. Clamp is the job: estimate at cost, signed milestones, change orders and job costing on its entry plan. Most contractors who compare them end up with both.

Costed against the estimate line

Estimate against actual
Sample data. A receipt is costed against the estimate line it belongs to, and the job cost review compares what the job spent with what was estimated, by category.

Verdict
Clamp may fit when
- You want job costing without paying for QuickBooks Plus: receipts, bills and time on site against the estimate, on the entry plan
- You estimate at direct cost and want your markup applied once on top, visible to you and not to the customer
- You want a proposal with signed payment milestones and change orders the customer signs before the changed work starts
- You want a customer portal where the homeowner signs, sees invoices, photos and the schedule, and answers decisions
- Your bookkeeper is happy with a periodic export of payments, receipts, bills and mileage rather than a live sync
- You work with subs who need the job and schedule without seeing your prices
QuickBooks Online may fit when
- You need accounting software: bank feeds, reconciliation, a chart of accounts and tax-ready reports
- Your accountant works in QuickBooks Online Accountant and wants a seat in your file
- You run payroll, pay subcontractors by 1099, or want W-9 collection in the same system
- You already pay for Plus or Advanced and Projects gives you the job profitability you need
- You want to take card and ACH payments on the invoice through QuickBooks Payments (2.99% invoiced cards, 1% ACH)
- You need a live sync with a job app such as Knowify, JobTread, Houzz Pro, Buildertrend or Housecall Pro, which QuickBooks lists and Clamp does not offer
Before you compare them
- QuickBooks Online is accounting software. Clamp is not: no bank feeds, no general ledger, no payroll, no tax filing. The comparison is the job side against the books side.
- QuickBooks job costing lives in Projects, which its construction page and Help article limit to Plus and Advanced. Plus is $140 a month at list price. Clamp's job costing is on Solo at $19.99 a month or $149.99 a year.
- QuickBooks publishes monthly list prices with no annual contract and a 50% off for 3 months promotion. Twelve-month totals on this page are twelve times the list price, calculated. The promotion is not used in any total.
- A QuickBooks estimate is a priced document the customer accepts from their email. It does not show your cost against your price or a markup line; QuickBooks' estimates Help article does not mention markup, revisions or change orders.
- Clamp's estimate is built at direct job cost with the markup applied once on top, and the same lines carry through to the proposal, the milestones, each change order and the job cost review.
- QuickBooks Projects can carry estimates, invoices, expenses, bills and timesheets, with hourly labor cost rates you set per employee. Estimate versus actual on the project dashboard is stated for Advanced, not Plus. Clamp reviews actual against the estimate by category on every plan.
- Progress invoicing in QuickBooks is made from an accepted estimate by percentage or by line. Clamp bills from milestones tied to job events, each with a checklist of evidence, as the stage starts.
- QuickBooks' Payments pricing page prints no card or ACH rate; its payment rates page does: 2.99% on invoiced cards and digital wallets, 3.5% keyed, 2.5% on a card reader or Tap to Pay, 1% ACH, 'accurate as of 09/18/2026'. The Payments page also lists a Solopreneur plan at $20 a month that the main pricing page does not show.
- Clamp has no QuickBooks sync. The accountant export is a periodic package of CSV files, not a connection. If you need transactions to land in QuickBooks on their own, that is a reason to stay with a product that syncs.
- "Not found" on this page means not found on QuickBooks' current pricing page, construction page, Payments pricing and rates pages, Payroll pricing page, QuickBooks Time pricing page or the Help articles cited. It does not mean QuickBooks cannot do it another way. Neither product was tested against the other.
Workflow
| Feature | Clamp | QuickBooks Online |
|---|---|---|
| What it is | A job workflow: lead, estimate, proposal, change orders, invoices, job costing. Not accounting software | Accounting: income and expenses, bank transactions matched and recorded, reports, bill pay, with estimates and invoices built in |
| Bank feeds, reconciliation, general ledger | Not offered. Payment accounts in Clamp only label rows in the accountant export; Clamp does not track their balances | Automated bookkeeping that matches and records transactions, with general business reports from Simple Start; one bank connection on Free |
| Accountant access | The accountant export: CSV files of customer payments, receipts, bills and mileage for a period, with a summary and a cross-check (every paid plan) | Access for 2 accountants on Simple Start, Essentials and Plus, 3 on Advanced; accountants use the free QuickBooks Online Accountant |
| Payroll, W-9s and 1099s | Not offered. Clamp does not pay vendors or track W-9s, 1099s, insurance certificates or lien waivers | Payroll is sold separately or bundled (from $6.50 per employee a month plus a base fee); W-9 requests to subs and 1099 box mapping on the construction page; free 1099 e-filing on Advanced |
| Estimate at cost, then markup | Every line at direct cost; the markup from your overhead and profit goal goes on once, and the customer sees the price | Estimates are product and service lines at price; cost against price and markup are not mentioned in the estimates Help article |
| AI estimate draft | A draft at direct cost from a plain-language description, then your markup (3 free credits, then 25 or 50 a month by plan) | Not found on the pricing or construction page; the AI features listed are categorization, tax and anomaly tools |
| Estimate acceptance and deposit | Proposals signed in the customer portal (Assistant and Teams); the deposit is the first milestone | Status updates when the customer accepts or declines from their email; the construction page describes a deposit amount the customer can pay online |
| Change orders | A change order on every plan: priced and billed, e-signed in the portal on Assistant and Teams, with its effect on the contract total shown before signing | Not found on the pricing page, construction page or estimates Help article; the construction FAQ lists change order tracking as a feature to look for |
| Customer decisions after signing | A Decisions needed list: needed by, what it blocks, who owes the answer, the resolution | Not found on the pages cited |
| Progress billing | Milestones tied to job events, each with a checklist of evidence; billed as the stage starts | Progress invoices from an accepted estimate, for the whole estimate, a percentage or by line item; no plan limit stated in the Help article |
| Job costing: which plan | Every plan, from Solo at $149.99 a year | Projects on Plus ($140 a month list) and Advanced ($340); not on Free, Simple Start or Essentials |
| Job costing: what it holds | Receipts costed against the estimate line, vendor bills and purchase orders, time on site at the loaded rate, returns; reviewed against the estimate by category at close | Estimates, invoices, expenses, bills, checks and timesheets assigned to a project; project reports with income, expenses and profit margin; estimate versus actual on the dashboard stated for Advanced |
| Labor cost on the job | Time on site logged per job by role at the loaded labor rate, or detected when you leave the site; no GPS clock or geofence | Hourly cost rate per employee (wage plus employer taxes, overhead added by hand) applied to timesheets tracked to the project, on Plus and Advanced; field clock-in is QuickBooks Time, sold separately |
| Receipts and vendor bills | A receipt is costed against an estimate line and shows over or under; bills allocate to jobs, link to purchase orders and can hold retainage | Bills, checks and expenses assigned to a project, with billable items passed to a later invoice; bill pay with free ACH on Simple Start and up ($0.50 per standard ACH over the allotment) |
| Business mileage log | Automatic trip detection, confirmed per trip, attached to the job, at the IRS rate for its date | The mobile app 'automatically tracks trips from start to finish', categorized business or personal afterward; the Help article does not state which plans include it or mention the IRS rate. QuickBooks Time Elite shows how far employees travel on the clock |
| Customer portal | Sign proposals and change orders, see milestones, invoices, photos and the schedule, answer decisions (Assistant and Teams) | Customers accept estimates and pay invoices and deposits online; a portal that holds signed change orders, milestones and decisions was not found on the pages cited |
| Payments | Not processed by Clamp: add your own payment link and record what was paid against the invoice | QuickBooks Payments on the invoice from Simple Start: 2.99% invoiced cards and digital wallets, 3.5% keyed, 2.5% card reader or Tap to Pay, 1% ACH, instant deposit 1.75% more; no monthly fee stated |
| Team and subs | Up to 10 accounts on Teams, plus unlimited free sub invites who see the job and schedule, never your prices | 1 user on Free and Simple Start, 3 on Essentials, 5 on Plus, 25 on Advanced; QuickBooks Time users are $10 or $12 each a month on top |
| Sync between the two | No QuickBooks sync. The accountant export is a periodic CSV package your bookkeeper imports or reviews | Third-party integrations from Simple Start, not on Free; the construction page lists Knowify, JobTread, Houzz Pro, Buildertrend and Housecall Pro as apps that sync |
| Free use | One free AI estimate on clamppro.com and 3 free AI credits in the app; the first month of Solo is free on monthly billing | A Free plan with 1 user, 2 invoices a month, no mobile app and no integrations; a 30-day free trial on paid plans; 50% off for 3 months |

Switching
- Do not cancel QuickBooks because you adopted Clamp. Keep the ledger where your accountant works; move the job records.
- Ask your bookkeeper whether a periodic CSV package of payments, receipts, bills and mileage fits how they close the month. If they require a live sync, Clamp is not the fit.
- If you pay for Plus only to get Projects, work out whether Simple Start or Essentials plus Clamp covers what you use; the ledger, bank feeds and accountant seats stay on every paid QuickBooks plan.
- Name your payment and deposit accounts in Clamp the way your bookkeeper names them in QuickBooks before the first export.
- If you take cards on QuickBooks invoices today, set up a payment link for Clamp's invoices and portal, since Clamp does not process payments.
- Finish open jobs where they started; start new ones in Clamp, and keep invoicing in one place per job so a payment is never recorded twice.
Questions
Do I need another contractor app if I already use QuickBooks Online?
Not necessarily. QuickBooks Online may cover your needs alone; another app is worth it only when you need job workflows your accounting setup doesn't provide. Clamp adds connected estimates, proposals, milestones, change orders and job-cost records. It does not sync with QuickBooks, so decide which system owns each record and how your bookkeeper will receive the export.
What records does Clamp export for a QuickBooks bookkeeper?
Clamp's accountant export gives CSV files of customer payments, receipts, bills and mileage for a chosen period, with a summary and a check that the files agree. Your bookkeeper can review or import them while QuickBooks stays the general ledger. It is a manual handoff, not a live connection, which matters if you want records to move on their own.
Which QuickBooks Online plans include contractor job costing?
QuickBooks Online has job costing through Projects on Plus and Advanced; Simple Start and Essentials do not include Projects. A project collects invoices, expenses, bills and timesheets and reports income, expenses and margin. QuickBooks' documentation places the project dashboard's estimate-versus-actual view on Advanced, so don't assume every Projects plan reports the same way.
How much is QuickBooks Online if I need job costing?
QuickBooks Online Plus is $140 a month at list price for five users and includes Projects job costing; Advanced is $340 a month for 25 users. The advertised 50% discount lasts three months, and payroll costs extra. Clamp has job costing on Solo at $19.99 a month or $149.99 a year, but it does not replace QuickBooks accounting.
Does Clamp sync invoices and expenses with QuickBooks Online?
No. Clamp does not sync invoices or expenses with QuickBooks Online; it provides an accountant export package instead. That matters if you want records to move between the job and the books without a manual handoff. If a two-way accounting connection is a requirement, Clamp is the wrong fit for it today.
